Handover documentation is future repair information.

Construction finishing does not mean every piece of project information should disappear with the contractor, designer or site team.

The handover folder should tell you what was approved, what was actually built, what products and equipment were installed, what is covered by warranty, and who to contact when something needs attention.

Principle

Know what was built. Know that it works. Keep the information needed to look after it.

02 Records

Keep the records that still correspond to reality.

The folder does not need every scrap of paperwork. It needs the documents and references that will help with approvals, repairs, replacement, maintenance and future changes.

Formal project closure

Keep the final statutory and project documents applicable to the house, such as approved plans, completion-related documents, occupancy approvals where required, relevant NOCs and utility approvals or connections. Exact requirements depend on the local authority.

Final drawings

Record what actually exists

Retain the final available architectural, structural, electrical, plumbing, drainage and services drawings. The most valuable drawings are the ones that reflect meaningful changes made during construction.

Equipment + warranties

Make installed systems traceable

Keep brand, model, serial number, purchase date, installer, manuals and warranty details for major installed equipment. For every warranty, know what is covered, for how long and who to call.

Finish schedule

Make future matching possible

Record paint brand and shade, tile manufacturer and code, laminate code, switch series, tap and sanitaryware models, and window system or glass information where available.

03 Use

The handover folder should solve future questions quickly.

An as-built record shows what exists, not merely what was originally intended. If a pipe was shifted during construction, the useful final drawing is the one that shows the pipe in its actual location.

Where practical, keep a small quantity of spare tiles, specialised floor pieces, uncommon fittings or hardware. A few matching pieces can prevent a small repair from becoming a full-room replacement.

Keep a contact list with the house records: plumber for a leak, window vendor for a window issue, gate or automation vendor for those systems, and waterproofing installer for waterproofing concerns.

Organise for retrieval
Could someone who did not manage the construction still find the right record five years from now?
  • Keep physical originals safely where they matter.
  • Store drawings, photographs and manuals digitally where practical.
  • Keep important digital backups in more than one place.
  • Do not rely on one old laptop or scattered message threads as the archive.
  • Label spare materials so they can be connected back to the finish schedule.
  • Keep installer and service contacts with the related warranty or equipment record.

04 Check

Ownership begins when the project information becomes yours.

If one living-room tile cracks years later, the useful record is not the original mood board. It is the tile brand, series, code and size, ideally supported by a labelled spare.

The same principle applies throughout the house: approvals prove status, as-built information shows reality, and equipment records make maintenance and warranty claims easier.
