01 Problem

Your project file becomes the memory of the building.

Important project information should not remain scattered across phones, WhatsApp chats, email threads, paper folders and different people's computers.

When the building needs a repair, alteration, warranty claim or future investigation, the useful question is simple: can you retrieve what was actually approved, specified, supplied and built?

02 Records

Different records answer different future questions.

Approved drawings show what was formally accepted where approval is required. Architectural drawings explain how the building is arranged. Structural drawings preserve information about foundations, columns, beams, slabs and reinforcement.

Services drawings can preserve electrical, plumbing, drainage, water, AC, automation, solar and security information that becomes difficult to understand once walls and finishes close everything up.

The important thing is not merely owning a PDF. You should know its status, revision and whether it was actually issued for construction.

Approvals

What was formally accepted

Keep applicable sanctioned or approved plans, elevations, sections, site plans and authority submissions.

A design drawing and an approved drawing are not necessarily identical.
Architecture

How the building is arranged

Keep the latest relevant plans, elevations, sections, schedules, room layouts and important detail drawings.

Check revision and issue status.
Structure

How the building stands

Foundation, column, beam, slab and reinforcement information may become critical during future repairs, extensions or alterations.

You may not calculate it, but you may need it later.
Services

Where hidden systems run

Electrical, plumbing, drainage, water, AC and other service information becomes especially valuable after the building is finished.

Hidden systems become harder to reconstruct from memory.

03 System

The drawing is only one part of the record.

Contracts and quotations tell you what each party agreed to provide. Keep signed contracts, inclusions, exclusions, specifications, payment terms, timelines and warranty commitments so disputes do not depend on memory.

Specifications answer a different question from drawings. A drawing may show where a wall, floor or fixture goes. The specification identifies what material or system was intended.

Payment records also matter beyond accounting. Invoices, receipts, major purchase bills and final settlements can support warranty claims or prove purchase and installation dates.

Keep together
Could someone unfamiliar with the project understand what was approved, built, bought and who was responsible?
  • Approvals and sanctioned drawings
  • Latest architectural, structural and services drawings with revision status
  • Signed contracts, quotations, inclusions and exclusions
  • Major material and system specifications
  • Invoices, receipts, milestone payments and final settlements
  • Product information, warranties and proof of purchase
  • Site photographs and records of important changes
  • Architect, engineer, contractor, electrician, plumber and specialist vendor contacts

04 Check

Keep the information needed to understand the building later.

Select every record that belongs in a usable long-term project file.

Remember

Digital, physical or both can work. The folder names matter less than the habit of keeping complete, retrievable records.
